It is the company’s responsibility to provide both employees and members of our supply chain with a safe and confidential mechanism to raise concerns and report breaches of our standards, processes or protocols.
We all have a duty to speak up if we know or suspect someone is violating the Company’s business ethics, code of conduct or any other policy or procedure. However, we understand that you may not feel comfortable raising such a matter with your manager; whether this is because of the nature of the matter or because you are not confident that it will be dealt with. Reporting a concern through Speak Out gives you the opportunity to make the report in confidence and without fear of retaliation. It also provides the Company an opportunity to investigate and take appropriate action to ensure the Company’s long-term success.
FM Conway – Speak Out Helpline / Application
The Speak Out Helpline is a freephone phone number (0808 169 1521) and a web application (available on your desktop/mobile web browser), which enables employees and others to raise concerns or dilemmas, or to seek advice on a matter related to compliance with the law, our published business ethics and our company Code of Conduct, confidentially and without fear of retaliation.
Who can use the Speak Out Helpline / Application?
The Speak Out Helpline is for all employees and for third parties with whom the Company has a business relationship (such as contractors, customers, suppliers, agents) if they observe wrongdoing by Company personnel.
How can I raise a query or concern via the Speak Out Helpline / Application?
The Application is available 24 hours a day, 365 days a year. You can fill in details in the application to submit your query or concern.
You can call the Helpline without a charge during office hours and a voicemail service is available out of hours.
What will happen when I contact the Speak Out Helpline?
Although we would rather you identified yourself (so you can help us to assess the issues or concerns you are raising and enable us to take quick action to deal with them as well as provide you with updates and feedback), if you wish to make an anonymous report you may do so.
Whilst we commit to investigate all reports, it may make it difficult to conduct a thorough investigation into your issue or concern if we do not know how to contact you again.
You should not let any concerns go unresolved. If you report apparent misconduct honestly, and in good faith, you will be supported by the Company
Please provide as much information as possible about your concern but keep it relevant, especially if you are making an allegation about another person.
If you have provided your contact details, at the end of the telephone conversation or submission of a report through the application, you will be given a report number and so you may call in to check if there is a response from the company, or to provide additional information.
What happens to a report when received by the company?
Your report will be treated confidentially and professionally.
It will be passed to a member of the Company’s Internal Audit team to decide the appropriate action.
If the report is a query, or perhaps a dilemma for which advice is sought, it will be passed to someone qualified to provide that advice.
If the report constitutes an allegation that requires careful investigation, an investigation manager will be assigned.
If the reported incident requires expertise not available within the Company, an outside expert may be involved under terms of strict confidentiality.
Details of the case, and especially the identity of the person who made the report and any persons mentioned in the report, are kept confidential and only shared where necessary.
The investigation itself will focus on an objective, factual analysis of the case. In the event an allegation is found to be true, the investigation manager will recommend the action or actions to be taken.
